RCCC Notice for AGM

The River City Cycle Club will hold its Annual General Meeting on Monday, November 15th, 2021 on Zoom. 

The AGM is open to everyone. Must be a member to vote.


NOTICE OF ELECTIONS: We will also take this opportunity to inform the membership of the 2021 RCCC Executive positions up for election at the AGM. 

Further to the RCCC Constitution we are informing our members of the executive duties, which are reproduced below.

Call for Nominations. At this time we are seeking nominations for the following positions: 

President  

Vice-President 

Treasurer 

Secretary & Membership 

Director-at -Large, Road  

Director-at-Large, Mountain 

Director-at-Large, Rec & Sponsorship


Vacant positions include:

Director-at-Large, Rec & Sponsorship

Director-at-Large, Mountain (existing director will continue if not filled)

Secretary & Membership (existing director will continue if not filled)


The Board of Directors

The Officers shall meet prior to each Membership Meeting to set the Agenda and review the issues at hand.


The Duties of the Officers are as follows:

President:

  • Is a voting member of the Executive Committee.  

  • Is the chief operating officer of the Club with the power to initiate and direct Club policy subject to the approval of the Executive. 

  • Chairs the Executive and general membership meetings, or in the case of general meetings, may designate another member to chair the meeting on their behalf.

  • Provides the Club with leadership and guidance in accordance with the purpose of the Club.

  • Responsible for Promotion of the Club within the Community.

  • Oversees the various subcommittees within the RCCC


Vice-President:

  • The vice-president is the vice-chair of the Board and is responsible for carrying out the duties of the president if the president is unable to act.

  • Assist the President in carrying out the purpose of the club.

  • Assist the other Executive Members where needed.  

Director-at-large, Road:

  • Is a voting member of the Executive Committee. 

  • Arranges group rides. 

  • Shall develop a yearly schedule for weekly and monthly road bike rides.  

  • Shall coordinate with the mountain bike rides and events along with local races and events. 

  • Shall promote races and coordinate information for activities for road riding. 

  • Ensures that each rider conforms to cycling road rules and etiquette.

Director-at-large, Mountain Bike:

  • Is a voting member of the Executive Committee.

  • Arranges group rides. 

  • Shall develop a yearly schedule for weekly and monthly mountain bike rides. 

  • Shall develop a schedule for trail-work days. 

  • Shall oversee the Trail Committee

  • Shall coordinate with the road bike rides and events along with local races and events.

  • Shall promote races and coordinate information for activities for mountain bike riding. 

  • Ensures that each rider conforms to cycling road rules and etiquette.

Director-at-Large, Rec & Sponsorship:

  • Is a voting member of the Executive Committee.

  • Arranges recreational events 

  • Substitutes for the President in their absence and absence of the Vice-President.  

  • Shall coordinate with the road bike and mountain bike rides and events along with local races and events. 

  • Assists with promotion of the RCCC within the community and at Community Events.

  • Ensures that each rider conforms to cycling road rules and etiquette

  • Maintains sponsorship documents

  • Approaches local cycle shops and other potential sponsors as agreed upon by the exec for sponsorship funding

Secretary:

  • Is a voting member of the Executive Committee. 

  • Books meeting dates for the year and sets location. 

  • Records minutes of all Club meetings. 

  • Carries out official correspondence for the Club. 

  • Maintains Club membership register. 

  • Furnishes an approved copy of minutes of all Club meetings to the Club.

Treasurer:

  • Is a voting member of the Executive Committee. 

  • Keeps a record of all financial transactions. 

  • Keeps Club cheque book and pays approved bills for which there is a receipt. 

  • Regularly reports on the Club's financial status. 

  • Maintains the Club's bank account(s). 

  • Files appropriate reports. 

  • Acts as signing authority on the Club accounts (with two other members of the Executive).
